Student Grade Graduation with an Effective Date

HomeTrail now lets you graduate a student to the next grade level with an “Effective Date.” This means you can backdate a grade change, and HomeTrail will automatically update the student’s records from that date forward.


What is this feature?

When you graduate a student to a higher grade in HomeTrail, you’ll now see an Effective Date option. This date determines when the new grade should begin, even if you’re making the change later.


Why is this useful?

Sometimes you notice a student should have been moved up a grade earlier, maybe your school year started a few weeks ago, or you forgot to update HomeTrail during a busy season.

Instead of manually editing past entries one by one, HomeTrail will automatically reassign the student’s records starting on the Effective Date, saving you a ton of time.


What gets updated?

When you graduate a student and choose an Effective Date, HomeTrail updates:

✅ Sessions

All sessions the student participated in on or after the Effective Date will be updated to reflect the new grade.

✅ Attendance Records

Any attendance days marked on or after the Effective Date will now be associated with the new grade.

✅ Nature Time

All nature time entries on or after the Effective Date will be moved to the new grade.

Records before the Effective Date stay exactly as they were and remain associated with the previous grade.


What about reports and portfolios?

Reports and portfolios are treated as snapshots of your data at the time they were generated. That means:

  • Existing reports/portfolios will NOT automatically update

  • If any reports or portfolios might now contain outdated grade information, HomeTrail will display an alert after graduating the student

This makes it easy to know which ones may need to be regenerated.


How to use it

  1. Go to Trailhead → Students tab

  2. Find the student you want to graduate

  3. Select a higher grade from the dropdown

  4. An Effective Date picker will appear
    → Choose the date you want the grade change to start

  5. Click Save

  6. Review any alerts showing which reports or portfolios may need to be rerun


Notes & Rules

  • This feature only applies when moving a student to a higher grade (graduation)

  • Moving to a lower grade (or staying the same) works the old way—no retroactive updates

  • The Effective Date cannot be in the future

    • It defaults to today
